Job Description
Roles & Responsibilities
As an Administration Support, you will be responsible for helping the smooth running of the business by ensuring filing and documentation is keep up to date. Duties may include using specialist computer software and understanding the requirements of the business you are working in. You may also be required to be customer-facing - via email, phone, or greeting visitors.
The job role of an administrator involves the following duties:
- Preparing, organizing and storing information in paper and digital form
- Dealing with queries on the phone and by email
- Managing diaries, scheduling meetings and booking meeting rooms
- Liaising with suppliers and contractors
- PRO for all official work required for the company.
- Liaising with staff in other departments, e.g. finance, HR
- Providing logistical support and the status of the parties, seminars, conferences and meetings organized by Tatweer in hotels, restaurants and clubs
- Taking procedures for the issuance and cancellation of visas for staff and their families members.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies and lastly sending it to manager for approval.
- Provide administrative support to the department, resulting in smooth and effective day-to-day operations including the handling of confidential and sensitive issues, which require a high degree of discretion and ensuring timely completion of all requested administrative activities.
- Assist in all tasks related to purchasing/ renting cars
- Registering and licensing all vehicles
- Developing strategies for greater fuel efficiency
- Maintaining detailed records of vehicle servicing and renewal and also if required to take the vehicles for service.
- Weekly checking of all vehicles, sending emails for any damages etc., checking of fines and getting confirmation from employees
- Completing all other tasks as delegated by management or reporting manager.
- Maintaining general office files, including job files, vendor files, and other files related to the company s operations.
- Taking over jobs of other colleagues when they are on leave
- Helping your colleagues when they are overloaded with work such as ticketing, etc.
- Performing other relevant duties when needed.
Desired Candidate Profile
Qualifications and Experience
- Educational Background: A Bachelor s or Diploma degree in Business Administration, Management, or a related field.
- Work Experience: Minimum of 3-5 years of experience.
- Experience in handling government-related procedures, including visa issuance, cancellations, and staff family documentation.
- Experience in vehicle registration, licensing, and managing fleet maintenance records
