Admin – Operations & Sales Support (Car Rentals) Location: Dubai (On-site Mon–Fri; WFH Saturday) Schedule: 6 days/week · 9:00 AM – 6:00 PM (DXB) Compensation: AED 6,000/month + commission potential (on qualified sales conversions) Reports to: Head of HR (Dubai) with day-to-day alignment to the UK Team About Kayana Kayana builds ordering and payment solutions for SMEs across the UK, Europe, Middle East, and beyond. We’re growing fast and are hiring a self-sufficient, proactive Admin to keep our Dubai office running smoothly while supporting the UK car-rental workflow (admin + light outbound/email sales support). Role Purpose Own day-to-day administration and coordination for our car rental stream and general office needs. You’ll handle bookings, documentation, invoicing, customer emails, and basic sales outreach. This role suits someone goal-driven who needs minimal supervision, communicates clearly, and reliably supports stakeholders in a different time zone. What You’ll Do Car Rentals – Admin & Coordination Manage end-to-end rental admin: availability checks, quotations, bookings, extensions, returns, and closure. Liaise with suppliers/fleet partners for rates, availability, maintenance, and replacements. Raise invoices/receipts, track payments & deposits, reconcile simple line items with Finance. Maintain trackers/Sheets, ensure accurate data entry in CRM/records, and keep files organized. Outbound & Client Emails (Commission-eligible) Email potential clients with approved templates; qualify interest and hand off warm leads. Follow up on quotes; log all activity in CRM/Sheets. Earn commissions on eligible conversions (per policy/targets). General Admin & UK Team Support Calendar/scheduling support, basic travel/hotel bookings, courier coordination. Office admin: supplies, petty cash logs, vendor coordination. Prepare simple weekly reports (pipeline, bookings, collections, issues, SLAs). What You’ll Bring 2–4+ years in administration, coordination, or sales support (car rentals/automotive/hospitality/logistics is a plus). Excellent English (clear email writing; professional tone). Strong Google Workspace (Gmail, Docs, Sheets) and basic CRM familiarity. Highly organized, detail-accurate, and able to prioritize in a fast-moving environment. Proactive communicator; comfortable working with limited supervision and with UK stakeholders. Customer-service mindset; problem solver who closes loops. (Nice to have) Basic knowledge of UAE/RTA norms for rentals; UAE driving license. Work Pattern & Compensation Mon–Fri: On-site (Dubai office), 9:00 AM – 6:00 PM Saturday: Work from home, 9:00 AM – 6:00 PM Salary: AED 6,000/month Commission: Eligible for commissions on approved, converted leads per company policy (shared during onboarding). Standard probation and performance evaluation apply.
