Roles & Responsibilities
Admin Assistant Spa Operation
Administrative Support
- Manage the Spa Director s calendar, appointments, and travel arrangements.
- Draft, review, and distribute correspondence, reports, and presentations.
- Organize meetings, prepare agendas, and take minutes when required.
- Maintain filing systems (digital and physical) for easy access to documents.
Operations & Reporting
- Assist in preparing spa financial and performance reports (revenues, KPIs, staff schedules).
- Coordinate submission of reports and data from spa managers across properties.
- Track deadlines, action points, and follow-ups for the Spa Director.
Communication & Coordination
- Act as liaison between the Spa Director and internal hotel departments, spa managers, and corporate teams.
- Handle phone calls, emails, and inquiries in a professional and timely manner.
- Support in drafting internal communications, policies, and memos.
Other Duties
- Assist with training schedules, recruitment paperwork, and HR coordination for spa staff.
- Support event planning, spa promotions, and marketing activities as directed.
- Maintain confidentiality of sensitive information at all times.
Desired Candidate Profile
Requirements:
- Bachelor s degree or diploma in Business Administration, Hospitality, or related field.
- Minimum 2 4 years of experience in an administrative support role, preferably in hospitality.
- Fluent in English (spoken and written); additional languages an advantage.
- Strong organizational and time-management skills.
- Excellent verbal and written communication.
- Detail-oriented with ability to manage multiple priorities.
- Professional, discreet, and customer-focused.
- Proficient in MS Office Suite; experience with booking/reporting software is a plus.
- Professional appearance in line with hotel corporate standards.
- Ability to work flexible hours if required.
